THIS POSITION WILL REMAIN OPEN UNTIL FILLED, AFTER A MINIMUM OF 5 WORKING DAYS Purpose Statement:
The job of Head Administrative Assistant - was established for the purpose/s of providing administrative support to the administrators; conveying information regarding functions and procedures; ensuring compliance with site's financial, legal and administrative requirements; and overseeing the office activities.
Essential Functions:
Input into IFAS payroll for employees including bus drivers, sub bus drivers, bus aides, sub bus aides, transportation office personnel and bus shop personnel.
Input purchase orders and expenses on IFAS for the office and bus shop.
Order from Warehouse through IFAS system.
Receive items on IFAS for office and bus shop expenditures.
Type memos and letter.
s Assist at Driver's Annual In-Service.
Assist Transportation Supervisor with the preparation of the department budget.
Report accidents involving buses to Risk Management.
Follow-up on accidents until claims are settled.
Input work orders for work needing to be done in the office and bus shop.
Close out work orders in IFAS performed by mechanics.
Maintain statistical information of all field trips.
Compile and submit Field Trip and Schedule B information to state.
Maintain gas card information.
This requires activation of gas cards and requesting pin numbers for use with each card.
Dispatch and answer phone calls.
Cross train in office job tasks to be able to handle situations that arise in the office such as assigning field trips, driver's assignments, bus stop information, etc.

Order and pick up Office Supplies from Office Stores.
Reconcile Purchasing Card purchases and input into IFAS.
Maintain Employee Files Input changes to employee hours and job changes into IFAS.
Exeptional interpersonal and problem-solving skills.
Perform other related duties, as assigned.

Other Functions Assists other personnel for the purpose of supporting them in the completion of their work activities.
Job Requirements:
Minimum Qualifications Skills, Knowledge and Abilities Must be able to operate standard office equipment including pertinent software applications; planning and managing projects; performing basic bookkeeping; and preparing and maintaining accurate records.
Must have knowledge of concepts of grammar and punctuation; bookkeeping principles; business telephone etiquette; common office machines; and office methods and practices.
Must have the ability to communicate with diverse groups; establishing and maintaining effective relationships (including with children); maintaining confidentiality; meeting deadlines and schedules; setting priorities; and working with constant interruptions.
Experience:
Job related experience with increasing levels of responsibility is required.
Education:
High School diploma or equivalent.

Estimated Salary: $20 to $28 per hour based on qualifications.

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
